E-commerce integration

Connect Shopify with your operations in Neoffice

A carefully scoped integration project that moves the right data between your store and Neoffice, without re-entering data or making unrealistic promises about synchronisation.

  • Orders centralised
  • Stock managed from Neoffice
  • Controlled rollout

A clear flow between your store and Neoffice

The direction of each synchronisation is defined before development begins. You know which system is the source of truth, when data moves and how exceptions are handled.

Shopify store

From Shopify to Neoffice

  • Orders and line items
  • Customers and billing and delivery addresses
  • Products, variants, taxes and shipping charges
  • Payment and fulfilment statuses

Neoffice management

From Neoffice to Shopify

  • Available quantities by location
  • Products and prices, if this flow is included

The exact scope depends on your store

Installed apps, markets, currencies, tax rules, warehouses and customisations are reviewed during the audit. Only approved data flows are activated.

What the integration can automate

Features are enabled according to the approved scope and tested with your data before going live.

Orders

The integration creates orders in Neoffice from Shopify sales, checks for duplicates and can import an agreed period of order history.

Customers and addresses

Contact details and the billing and delivery addresses required to process each order are centralised.

Products and variants

SKUs, variants, categories, weights and images are mapped to prevent orphaned products and manual matching.

Stock by location

Neoffice can act as the source of truth and send available quantities to the corresponding Shopify locations.

Invoicing and payments

Depending on your rules, a paid order can trigger the preparation of sales accounting entries and the recording of the payment.

Shipments

Full or partial fulfilments can update logistics tracking in Neoffice according to the agreed process.

A scope with no grey areas

We distinguish standard data flows from requirements that need a business rule or additional development.

Commonly included

  • Importing new orders and preventing duplicates
  • Matching customers, addresses, SKUs and variants
  • Scheduled stock synchronisation by location
  • Logging, testing and checks before activation

Scoped separately

  • Automated returns, refunds and credit notes
  • Bundles, subscriptions and third-party apps
  • Complex market, currency or tax rules
  • Custom data flows in both directions

No feature is enabled by default unless it has been approved. Exceptions remain visible and traceable.

From audit to a controlled go-live

The project progresses in short stages, with a clear data owner for each flow.

  1. 01

    Store audit

We review current access permissions, apps, markets, warehouses and volumes.

  2. 02

    Data mapping

SKUs, customers, taxes, shipping methods, payments and statuses are mapped to the correct records in Neoffice.

  3. 03

    Testing in a controlled environment

We replay real cases and exceptions without disrupting daily operations.

  4. 04

    Deployment and monitoring

Approved data flows are activated gradually, monitored and documented for your team.

An integration designed to last

The integration uses Shopify interfaces that are currently supported, together with secure authentication, event validation and asynchronous processing. Changes to the API or your store can therefore be detected and handled instead of causing silent failures.

Controlled access

Permissions are limited to what is strictly necessary, and credentials are stored outside the code.

Reliable data flows

Duplicate checks, processing queues and planned error recovery.

Actionable monitoring

Logs, alerts and a clear procedure for handling exceptions.

Questions to ask before connecting Shopify

Is this a one-click integration?

No. Every store has its own apps, rules and history. A short audit first confirms access requirements and data flows. The integration is then configured and tested for your environment.

Which data can be imported from Shopify?

The scope may include orders, customers, addresses, products, variants, taxes, shipping charges, and payment or fulfilment statuses. The final list is confirmed during the audit.

Can stock be synchronised?

Yes, when Neoffice is selected as the source of truth. Neoffice warehouses are then mapped to Shopify locations, and available quantities are sent according to an agreed schedule.

What happens with returns and refunds?

They are scoped separately because their handling depends on your accounting, logistics and commercial rules. We define which actions can be automated and which require human approval.

Can past orders be imported?

Yes. Orders from an agreed period can be imported after customer, product, tax and status mappings have been checked.
